Build a case someone can act on.

A clear support case explains the issue, the exact item, and the desired result — nothing else. Good follow-up preserves the evidence, tracks the response, and checks whether the resolution actually worked on the page.

Anatomy of a good case

Every case should answer five questions in its first message:

  1. Which item — ASIN, vendor code, marketplace.
  2. Which field — one attribute or one problem per case; bundling ten issues guarantees a partial answer.
  3. Current state — what the page shows today.
  4. Requested state — the approved value, exactly.
  5. Evidence — spec sheet, packaging photo, GS1 certificate, previous submission or batch ID.

Leave out account history and frustration. The reviewer needs to reproduce the problem and see the fix.

Contact Us and the Case Log

Support → Contact Us routes by category — item setup, product detail page, images, catalog relationships, and so on — and the category determines which team reads it, so pick deliberately. The Case Log is where you follow up: reply in the same case rather than opening a new one, and record the case ID next to the issue in your tracker. If a reply asks for information you already provided, restate it concisely and attach it again; do not argue.

Unavailable pages and the Andon Cord

A vendor ASIN can go unavailable for catalog reasons (missing required attributes, a merge, a suppressed image) or for safety and quality reasons. The Andon Cord is Amazon's mechanism for the latter: after a pattern of customer complaints — wrong item, defective, expired, missing parts — sales on the ASIN are halted and the vendor is notified with a reason code.

Responding is a defined workflow, not a plea: identify the reason code, investigate the root cause (mislabeled cases, a packaging change, a spec mismatch), state the corrective action, and request reinstatement with evidence. Speed matters; an ASIN stays pulled until Amazon accepts the response.

Escalation ladder

  1. Case with complete evidence (above).
  2. Re-open or reply in the same case if the resolution does not display.
  3. BIN check when the pattern is a contribution conflict rather than an error.
  4. Vendor Manager or buyer — your Amazon category contact — when a case has stalled through several rounds and the ASIN matters commercially. Bring the case IDs and a one-paragraph summary; they can route internally in ways support cannot.

Switch paths deliberately; running all four at once creates contradictory tickets.

Closing the loop

A case marked resolved still needs an outcome check: open the page, compare against the original request, and only then close the item in your tracker. If the page is unchanged, reply in the case with the observation and a fresh screenshot — that reply is your evidence trail for the next step up the ladder.

Scenario

A fictional capacity correction has been unresolved for two weeks. The existing case message says only 'Please fix the listing.' Support has replied twice asking for details.

Exercise

  1. Rewrite the first message with the exact item reference, vendor code, and affected field.
  2. State the current capacity and the approved replacement, and name the evidence you will attach.
  3. Define how you will verify the correction, and what the next escalation step is if it does not display.
Show a suggested approach

For ASIN B0FICTION1 under vendor code XXXXX (amazon.com), state that the capacity attribute currently shows 500 mL and should show the approved 750 mL, attach the specification sheet and the batch ID of the last submission, and reply inside the existing case rather than opening another. Verify on the page after resolution; if the value still does not display, that is a contribution conflict — request a BIN check next, not a third case.
