Case management: Contact Us cases, Andon Cord, and escalation
Write Vendor Central cases that get acted on, run the Case Log loop without parallel tickets, respond to an Andon Cord pull with the defined workflow, and escalate a stalled case — BIN check, then Vendor Manager — in the right order.

- ✓Describe one issue precisely: item, field, current state, requested state, evidence.
- ✓Choose the Contact Us category deliberately and keep the Case Log loop in one case.
- ✓Recognize and respond to an Andon Cord pull or an unavailable detail page.
- ✓Escalate a stalled case up the ladder — reply, BIN check, Vendor Manager — one path at a time.
- ✓Verify the outcome against the original request on the live page before closing.
Build a case someone can act on.
A clear support case explains the issue, the exact item, and the desired result — nothing else. Good follow-up preserves the evidence, tracks the response, and checks whether the resolution actually worked on the page. This is the Vendor Central counterpart of Amazon 3P → Seller Support cases.
Anatomy of a good case
Every case should answer five questions in its first message:
- Which item — ASIN, vendor code, marketplace; the wrong vendor code sends a case nowhere (Vendor catalog).
- Which field — one attribute or one problem per case; bundling ten issues guarantees a partial answer, and three problems are usually three teams.
- Current state — what the page shows today, with a dated screenshot.
- Requested state — the approved value, exactly as it should display, not "fix the title".
- Evidence — what proves the requested value is right.
Write for a reviewer who has never seen the item and has minutes, not hours. They need to reproduce the problem (open the ASIN, find the field, see the value you describe) and to see the fix (the exact replacement, ready to apply). Attachments that work: the specification sheet, a packaging photo showing brand and barcode, the GS1 certificate for an identifier dispute, and the previous submission or its batch ID when a clean submission changed nothing. Leave out account history and frustration.
Contact Us and the Case Log
Support → Contact Us routes by category — item setup, product detail page, images, relationships; labels vary by account — and the category decides which team reads it, so choose per problem: a locked brand name is product detail page or item setup (Content updates), an outranked image is images, a broken family is relationships.
Follow up in the Case Log:
- Reply in the same case. A new case restarts the evidence trail.
- Answer inside the window. A case waiting on you closes itself after a period (check the help page) and can usually be reopened for a while; only once that option is gone do you open one new case citing the old ID.
- Reopen with something new: a fresh screenshot or the batch ID of the submission that changed nothing, not the first message again.
- Treat a canned reply as a signal. If it restates a help page or asks for what you already attached, restate, re-attach and ask for a specialist team; do not argue.
- Record the case ID in your tracker.
Unavailable pages and the Andon Cord
A vendor ASIN goes unavailable for catalog reasons (missing required attributes, a merge, a suppressed image), because Amazon Retail has no offer or stopped buying it, or for safety and quality reasons. Unavailable pages separates those routes by owner; this section covers the safety route, the Andon Cord: after customer complaints — wrong item, defective, expired, missing parts; sometimes only a handful — sales halt and a reason code arrives.
Responding is a defined workflow, not a plea:
- Identify the reason code and read it literally: wrong item and defective point at different operations.
- Investigate the root cause — mislabeled cases, a packaging change the page missed, a spec mismatch with what ships, a bad lot.
- State the corrective action, specific and checkable: cases relabeled, a lot quarantined, attributes corrected.
- Request reinstatement with evidence — photos of the corrected unit, the updated page, lot records.
Speed matters: the ASIN stays pulled until Amazon accepts the response, and a reply that disputes the complaints without a cause and a fix is unlikely to be accepted.
Escalation ladder
- Case with complete evidence (above).
- Re-open or reply in the same case if the resolution does not display: the observation, a fresh screenshot, the date.
- BIN check when the pattern is a contribution conflict rather than an error — a clean submission, a case marked resolved, a page still showing someone else's value. Retail readiness explains it; it covers any attribute, not only images. Bring the ASIN, attribute, your value and evidence.
- Vendor Manager or buyer — your Amazon category contact, where the account has one — when a case has stalled through several rounds and the ASIN matters commercially. Bring the case IDs and a one-paragraph summary: item, field, what you asked for, what happened. They can route internally in ways support cannot. Unmanaged accounts have no such contact; their ladder ends at rung 3 and a re-opened case.
Switch paths deliberately: running all four at once creates contradictory tickets — one team closes the case while another asks for the same evidence. Move up only when the current rung has failed.
Closing the loop
A case marked resolved still needs an outcome check: open the live page, compare it against the original request field by field, and only then close the item in your tracker with the case ID and the date the value displayed. Resolved describes the case, not the page.
If the page is unchanged, reply in the case with the observation and a fresh screenshot before the reply window closes — that reply is your evidence trail for the next step up the ladder. If the value displays, record it and keep the case ID: a value that shows today can be outranked again when another contribution changes, and a closed case with its evidence intact is the fastest thing to reopen or cite.
Da ricordare
A case marked resolved still needs an outcome check against the original request. One issue, one case, one open path at a time.
Mettilo in pratica
Scenario
A fictional 750 mL bottle, ASIN B0FICTION1, has had a capacity correction unresolved for two weeks. The only case message says 'Please fix the listing.' Support has replied twice asking for details, and the second reply has been waiting on you for several days.
Esercizio
- Rewrite the first message with the exact item reference, vendor code, and affected field.
- State the current capacity and the approved replacement, and name the evidence you will attach.
- Define how you will verify the correction, and what the next escalation step is if it does not display.
Mostra un approccio suggerito
Reply inside the existing case before it closes: for ASIN B0FICTION1 under vendor code XXXXX (amazon.com), state that the capacity attribute currently shows 500 mL and should show the approved 750 mL, attach the specification sheet and the batch ID of the last clean submission, and ask for a specialist if the next reply asks for what you have now attached. Verify on the live page after resolution; if the value still does not display, that is a contribution conflict — request a BIN check next, not a third case, and keep the Vendor Manager for after that rung has failed.
