Supplier catalog: item references, packaging levels, and reconciliation

How a Walmart supplier item is identified — GTIN per packaging level, supplier stock number, Walmart item number — why unit and case data must never mix, and how to reconcile conflicting sources before anything is submitted.

Make the source record trustworthy.

Reliable supplier work starts with consistent item data. Keep consumer-unit details, packaging information, and internal references clearly connected without mixing their meanings — a correct number in the wrong packaging context is still a wrong record.

Item references

  • GTIN — one per packaging level: the consumer unit's UPC/EAN, the case's GTIN-14, and a pallet GTIN where used. They are different numbers for different things.
  • Supplier stock number (vendor stock number) — your identifier, stored on the Walmart item so purchase orders and reports map back to your systems.
  • Walmart item number — Walmart's identifier, assigned when the item is set up and approved. It is what buyers, stores, and Walmart.com use.
  • Supplier number and department — the account context; items belong to a supplier number within a merchandise department, and the merchant for that department approves them.

Keep all of them together in one row of your master data. A ticket quoting a UPC without the Walmart item number costs a round-trip.

Packaging levels

Every dimension, weight, and quantity belongs to a level:

  • Each — the consumer unit on the shelf.
  • Case / warehouse pack — how the item ships to Walmart's distribution centers, with its own GTIN-14, dimensions, weight, and the number of eaches it contains.
  • Pallet — cases per layer and layers per pallet.

Label the level on every field in your source sheet. A column headed only "Dimensions" is unusable; "Case dimensions (in)" is not. Walmart uses case data for ordering and receiving, so a unit measurement in a case field produces short-shipped or refused loads, not a content error.

Owned versus DSD

Owned items are shipped to Walmart's distribution centers and replenished by Walmart. DSD (direct store delivery) items go straight to stores. The setup flows differ in the logistics data they require — DSD items need delivery and store-level information that owned items do not — so confirm the model before you choose a setup path.

Reconciliation

When two sources disagree — a sales sheet says six per case, the packaging spec is blank — the item is not ready. Compare sources, name the discrepancy, and resolve it against the approved specification (or the physical carton). Only then pass the value into the next workflow. Averaging, picking the most recent file, or filling the blank with the "usual" number all produce records that fail later, when they are most expensive to fix.

  2. Relabel the fields clearly as each or case, and note the missing case GTIN-14.
  3. Verify which fields the intended Supplier One setup requires, and which are still unresolved.

Keep both measurements but label their levels: the bottle's dimensions belong to the each, the carton's to the case. Obtain the case GTIN-14 from the packaging or GS1 records before setup — the case cannot be received without it. Map each measurement to the matching Supplier One field using the setup form's definitions, not the column order of the sheet.
